Description
CTB, a division of McGraw-Hill Education, has an opportunity for an Adminstrative Assistant to support the executive offices at our headquarters in Monterey, CA.
The individual in this role will provide administrative support for the executive offices of CTB/McGraw-Hill (including, but not limited to, the following: President, Chief Operating Officer, and VP of Strategy and Business Development). Represent the Office of the President and Chief Operating Officer by providing professional interaction with corporate executives, customers, government officials, community leaders, CTB management, and all levels of staff to promote positive customer, community, and employee relations and to coordinate and maintain efficient office workflow on a day-to-day basis.
Essential Duties and Responsibilities:
Executive Office Support: Initiate and compile and prepare detailed and complex management reports, presentations, organizational charts, correspondence and other required documents. Manage the organization of multiple executives'' workflow and apprise on daily priorities, meetings and commitments. Identify scheduling conflicts and advise on prioritizing and scheduling alternatives. Screen mail and telephone calls, schedule appointments. Maintain all sensitive and confidential information with the strictest levels of confidence and security.
Executive & Community Liaison: Provide professional external and internal interface between the Executive Staff and Community leaders and senior level Corporate office executives to assist in the facilitation of complete and thorough messaging and communication. Hosts and coordinates all customer and VIP visits to the site as sponsored by the President and/or Executive office. Acts as CTB liason to external, local community organizations, such as the local community colleges, museums, and charities. Coordinates CTB''s involvement in Global Volunteer Day; is main contact with Corporate for the annual event. Leads execution of the Student Art Project - works with artist consultant, is main point of contact for selected schools. Manages local corporate giving, keeps track of expenses, files reports, makes recommendations for contributions. Screens mail, telephone calls, takes messages, places and refers telephone calls appropriately. Prioritizes items requiring immediate attention. Handles projects independently.
Document & Information Handling: Exercises judgment in handling sensitive and confidential matters, obtaining information for response from others, or routing appropriate staff members for response. Assist in gathering information and verifying data accuracy. Coordinate and collect functional group monthly reports and related documents for senior manager handling. Download, extract and manipulate data into clear and professional charts, graphs,reports, and letters. Works with department representatives to secure and incorporate data into presentations and management reports. Proofreads content for accuracy. Gathers, processes, and disseminates highly confidential information to appropriate individuals: personnel actions, payroll information, proprietary information etc.
Employee Outreach: Actively leads and manages executive-sponsored events such as the 25 Year Club, town hall meetings, executive dinners, corporate/segment visits, and special employee committees and events, including the Employee Advisory Board. Responsible for managing the CTB Rewards and Recognition Program.
Administrative Coordination: Develop, recommend and implement consistent and standardized formats in areas that warrant companywide consistency in administrative reporting, communication, and document storage across all functional teams. Communication: Supports company-wide communications that reflect responsiveness to customers (internal and external), pro-active decision-making, commitment to excellence and understanding of company''s mission and goals. Organizes and coordinates executive communications to the company, customers, and corporate executives.
Qualifications
* Five years increasingly responsible administrative experience supporting an executive is required; college degree preferred.
* Demonstrated maturity of judgment in maintaining a high level of professionalism is required. Includes experience in recognizing and upholding the highest standards of preserving confidence regarding highly sensitive information.
* Very strong attention to detail is absolutely essential
* The ability to multi-task in successfully balancing speed and quality to get the job done, even in the most stressful of circumstances. Includes the ability to thrive in a fast paced, high pressured environment with tight deadlines which maintaining a professional demeanor under pressure.
* Demonstrated proficiency in initiating and providing responsive, accurate and professional written and oral communications required. Must have superior command of English language and grammar.
* Demonstrated experience in administering telephone conference calls, synchronizing executive calendaring system, online T&E management, event planning, and executive travel arrangements; Web ex, and video conferencing experience required.
* Demonstrated capability and expertise in supporting executive responsibilities and decision-making requirements in an ever changing environment that frequently requires proactively adjusting schedules amidst conflicting priorities required.
* Resource for employees - plans and participates in employee events, provides direction for employee-run committees, such as the D&I Council, WINS, and other employee resource groups.
* Must be self-motivated, strive for excellence, and work with limited direction and supervision.
* Ability to work flexible hours with limited advance notice.
* High level of proficiency in the use of common software packages including Microsoft Office suite - Word, Excel, Powerpoint, etc. Must be agile and proficient with online web based application, i.e. portals and web apps, i.e. must know how to navigate through the internet with ease.
* Must be a proven team player who identifies and takes advantage of opportunities to assist others.
* Knowledge of educational marketing, assessment products or publishing preferred.
