Responsibilities/Job Description:
The position will report to the Central Region General Manager of Operations. The assistant will be responsible for providing full administrative support. Responsibilities will include coordinating and maintaining all day-to-day clerical and administrative functions.
Performs full secretarial, administrative, and support activities of a highly responsible and confidential nature, including, but not limited to:
* Scheduling meetings/appointments and general coordination. Requires frequent interaction with executive assistants.
* Responding to telephone, facsimile, e-mail, calendar, and postal requirements.
* Assistance in preparation and distribution of letters, reports and presentations.
* Manage Regional informational updates of procedures & control documents.
* Purchasing office supplies and management of office equipment.
* Handling travel arrangements and expense reports.
* Managing filing requirements for managers and Human Resources.
* Manage, track, and process payment of invoices.
* Assist and support the HR Manager and Central Region Management with confidential information such as, personnel files, job performance evaluation and salary data.
* Incumbent is responsible for Personnel Change Requests (PCRs new hires, promotions, transfers, retirements, separations) and creating offer letters to prospective employees.
* Incumbent is responsible for the initiation of new requisitions in the HR Authoria system to include approval by appropriate managers.
* Incumbent is responsible for tracking and updating monthly headcount and vacancy reports for the Central Region General Manager of Operations.
* Contact and communicate with external job applicants via phone and email on an as needed basis.
* Distribute candidate information to appropriate internal hiring managers.
* Advanced knowledge and use of Excel, MS Word and MS Outlook and other Microsoft products.
* Experience and ability to use office programs & databases such as SAP and Authoria.
* Assist in managing office phones and office visitors.
* Incumbent is responsible for the management and upkeep of all Central Region employment files.
Basic/Minimum Qualifications:
* Five (5) years of secretarial or administrative experience.
* High school diploma or equivalent education.

* Incumbent must have demonstrated ability to manage sensitive and confidential information.
* Strong customer focus, and dependability is a must.
* Excellent organizational skills with demonstrated ability to multi-task, manage special projects and meet deadlines.
* Demonstrated ability to speak and write in a clear, concise, and organized manner.
* Demonstrated effective human relations, influencing, and listening skills to deal effectively with all levels of employees and management.
* Demonstrated ability to effectively organize and prioritize work and changing priorities effectively.
