Senior Manager, Marketing Operations

The Senior Manager Marketing Operations position reports into the Director of Strategy & Operations for the US Hematology Franchise. The Senior Manager will work across several Hematology brand teams to facilitate & support prioritization, scheduling, and planning of promotional materials through the PReP (MLR) review process with input from brand champions. This role will play a critical part in interfacing with supporting agencies and marketing stakeholders to ensure all materials meet agreed upon operating principles, timelines, and adherence to the PReP process.

RESPONSIBILITIES:

Facilitate & Support Prioritization, Scheduling and Planning of promotional materials through PReP review process (with input from Brand/PC champions) for the U.S. Commercial Hematology Franchise
  • Materials prioritization via PC/Agency submission
  • Facilitate weekly prioritization meetings with PCs, Agencies, MLR advisors
  • Facilitate weekly PReP live meetings and concept reviews
  • Materials scheduling & calendar timeline adherencen - We ekly materials review meetings, with brand and agency teams (estimate time to complete review of materials; adjust agendas to accommodate schedule changes; prioritize/reprioritize review items based on business needs) - Managing the calendar, approving, rejecting & arranging times for review
  • Ensure adherence to Marketing Decision-Making Model
  • Ensure timeline adherence for submission of materials for promotional review
  • Partner to support limitation of late additions to weekly agenda to business-critical exceptions only
  • Partner with brand and channel teams to ensure tactical plans are executed
  • Attend & participate in brand planning and strategy meetings
  • Attend brand overviews & updates to ensure expectations for managing prioritization and capacity, align to forecast
  • Escalation support, coordinate and schedule escalation meetings as needed
  • Assist in ensuring Veeva documentation closed loop including any dialogue, resolution and outside annotations occur within a trackable conversation and then is attached to the Veeva job for audit/tracing


Facilitate development of materials going through Prep process for the US Commercial Hematology Franchise and live meeting calendar development
  • Support flow of promotional materials through Prep process
  • Verify and support MLR/PC and agency in confirmation of various stages of materials routing via Veeva PromoMats
  • Monitor jobs in Veeva to keep status/update on workflow for each tactic and assist in questions on route steps if needed by PC/Agency or reviewer
  • Work with outside advertising agencies on day-to-day operations (ensure accurate preparation of review materials including OPDP preclearance submissions, lead weekly status meetings, in collaboration with BMS Production)
  • Facilitate communication between BMS and Agency Production Departments
  • Support deactivation of expired materials and replacement coordination with digital, Hibbert, print production agency
  • Track, organize, publish & maintain Agendas for Weekly PReP live meetings
  • Promotional materials reapproval process, reporting and guidance
  • Attend brand overviews & updates to ensure expectations for managing prioritization and capacity, align to forecast
  • Brand budget & Project management support
  • Back-up PReP team coverage for US Hematology brands
  • Create and maintain rosters for agencies, MLR, PC, and PReP coordinators by brand
  • Coordinate PReP meeting schedules when team conflicts occur (i.e. One-Off AD HOCs/Overflow, or official team/time changes)


Support Field Communications and Commercial Training materials:
  • Partner with PC and MLR to establish and confirm focused teams to support large Field Programs teams
  • Attend overviews & updates to ensure expectations for managing prioritization and capacity, align to forecast
  • Escalation support, coordinate and schedule escalation meetings as needed
  • Liaison to field/champion and management as necessary


Support US Hematology Speaker Bureaus & Congresses as needed:
  • Liaison, Partner with PC and MLR to establish and confirm focused teams to support large congress teams
  • Attend working groups for congress & planning meetings series for each meeting (ie. ASCO series, ASH, FRM, etc)
  • Updates regarding planning & budget, planning for tactics & organization and systems
  • Operational support of registration/attendance & management of congresses
  • Attend conference planning & updates to ensure expectations for managing prioritization and capacity, align to forecast
  • Promotional materials reapproval process
  • Concept review meetings, alignment, and review
  • Attend brand overviews & updates to ensure expectations for managing prioritization and capacity, align to forecast
  • Monitor jobs in Veeva to keep status/update on workflow for each tactic and assist in questions on route steps if needed by PC/Agency or reviewer
  • Ensure Veeva documentation closed loop including any dialogue, resolution and outside annotations occur within a trackable conversation and then is attached to the Veeva job for audit/tracing

Support Veeva PromoMats technical support to system operations and training
  • Franchise point for Veeva system access, functionality, and training
  • Organize and communicate platform changes including new or shutdown procedures and timings, ensure adherence to process
  • Setup for Veeva training for internal and external Partners
  • Research, confirm & update all emails for master list and manage updates and rollout waves attendance support
  • Organize & communicate the training schedules and send hold reserve invitations
  • Audit each list of training attendance, rollovers & track list of outstanding trainings
  • Own and manage Hematology training materials pertaining to PReP coordination, gaining stakeholder alignment and approval
  • Ongoing confirmation of access for existing or new users and roles, manage access to BMS security groups for PReP
  • Support Questions, Routing & Functionality in Veeva
  • Support and triage with teams regarding individual jobs in Veeva that are urgent
  • Support by connecting individuals with tickets in Veeva and follow to resolve
  • Support partnership with BMS IT/Veeva support to troubleshoot technical challenges and workflow enhancements including post Veeva training, support & 1:1 follow-up
  • Facilitate and open tickets for ownership change of jobs in Veeva
  • Solicit feedback & provide recommendations for improving PReP effectiveness
  • Support onboarding of new users (internal & external) through brand Prep process
  • Provide Veeva PromoMats reports to brand teams as needed
  • Support reporting requests for expiring materials, active jobs in the system and KPIs
  • Identify which platform a user is having trouble with and then get them to the right team or open a ticket for them to help them resolve their access


Support SharePoint and Calendar functionalities
  • Establish/initiate SharePoint sites for brand/category with IT Admin team
  • Administration and Access Management of SharePoint site
  • Weekly and periodic updates to SharePoint calendars and data including rosters and organization, approval of agendas
  • Support coordinating of granting access & engaging new users as needed
  • Managing the calendar, approving, rejecting & arranging times for review
  • Work with PCs/Agencies to ensure calendar is being utilized & requests are processed
  • Disseminate PReP agenda (& updates) to non-advisor customers (i.e CNCs, agency colleagues)


Corporate special projects, initiatives, launch & label update support, and misc. liaison support
  • Ad hoc PReP - Conduct, communicate and schedule overflow or ad hoc PReP meetings
  • Planning for submission meetings - conduct communicate and schedule
  • Execute special projects as needed including audits/legal discovery of documents and records within promotional review platform
  • Launch support - pre-submission update & tracking
  • Launch, pre-submission update to jobs for alignment with approvals & attachments
  • Launch priorities and tracking, create, and support maintenance of a priority tracker of Day 0, Day 1, Day 2, Week 1 materials for launch readiness and prioritization of materials each day
  • Schedule and facilitate PReP meetings from the day of approval of a launch brand
  • Ensure all materials that need submission for the day are with Regulatory by noon for 2253 submission during launch period


2253 Support
  • Coordinate with agencies to prepare compliant/clean files for Health Authority Submission
  • Health Authority support, liaison to Regulatory team. Assist with scheduling and packaging tactics for HAS (i.e. campaigns, related pieces, etc)
  • Communicate/Disseminate the 2253 alerts/notifications received from Regulatory to PC/Agencies (contingent upon receipt from Regulatory team)
  • Communicate accurate Date of First Use (DOFU) to Regulatory for FDA submissions upon request


REQUIREMENTS:
  • Undergraduate degree required, MBA or related preferred
  • 3+ years of experience in Marketing, preferably in the pharmaceutical or healthcare industry

  • Proven track record of interfacing with different parts of the organization driving strategy
  • Ability to establish relationships with cross functional teams while maintaining integrity
  • Proven track record of project managing the planning, support prioritization, scheduling within a matrixed organization.
  • Experience working within a team environment structure to support internal and external clients
  • History of effectively multi-tasking against competing timelines and resources.
  • Good oral, written and interpersonal communication skills
