Job Summary

The Senior Facilities Specialist is responsible for the implementation and oversight of facility management operations and projects at Blue Shield of California's Bay Area offices. This role will ensure the consistent and accurate delivery of Facilities services, ensuring all safety, compliance and regulatory tasks are successfully completed. This position will be based out of Blue Shield of California's Headquarters in Oakland, CA.

Responsibilities
  • Supports company health, safety and ergonomics programs, and implements organization processes and procedures.
  • Coordinates physical workplace needs with the business and employees by providing a high level of customer service and employee experience.
  • Provides administrative oversight of third-party relationships through implementation of designated systems, routine performance monitoring, tracking of services, and contract and purchase order management.
  • Oversees vendors, contractors and landlords for outsourced services including but not limited to janitorial, concierge, conference rooms, landscaping, mail services, moving, and café.
  • Manages space distribution including coordinating moves/adds/changes while supporting the governance process.
  • Work order system expert for facility related services; coordinates site training of work order and space / move management systems.
  • Prepares reports on operational and budget performance. Provides cost saving options and implements cost controls for maintaining buildings, equipment, and furnishings.
  • Responsible for the maintenance and upkeep of sites/buildings and related services. Evaluates and develops recommendations for short-term improvements to physical building/property conditions and maintenance planning.
  • Oversees mechanical, electrical, plumbing and fire/life-safety vendors/contractors for maintenance and repair, ensuring safety, compliance and regulatory requirements are successfully achieved.
  • Responsible for the management of assigned projects varying in size and scope. Project management includes meeting with internal/external stakeholders to develop/document project scope, timelines and budgets; provide frequent updates and communications to stakeholders and employees; drive the design, development and implementation of organizational standards. Projects include but are not limited to office moves/relocations, tenant improvements, site start ups and decommissioning.




Qualifications

Knowledge and Experience
  • Strong analytical and problem-solving skills.
  • Typically, requires advanced knowledge of job area typically obtained through advanced education combined with experience.
  • May have practical knowledge of project management.
  • Typically, requires a college degree or equivalent experience and minimum 5 years of prior relevant experience.
  • Follows safe working practices and makes appropriate use of related safety equipment as required.

Office Environment - roles involving part to full time schedule in Office Environment. Based in our physical offices and work from home office/deskwork - Activity level: Sedentary, frequency most of work day.
