A Brief Overview

Under general direction, coordinates activities and documentation for Medical Staff committees at both facilities, including the Medical Boards, all standing committees and any ad hoc committees. Provides direct support for certain specifically assigned Committees including creation and maintenance of correspondence, minutes, reports, agendas, records, rosters ensuring that all are in compliance with Stanford Hospital and Clinics and Lucile Packard Children's Hospital Medical Staff Bylaws. Maintains and coordinates approval process for Medical Staff Policies and Procedures, Medical Staff Bylaws and Rules and Regulations, and Rules and Regulations for clinical departments. Ensures compliance with regulatory requirements relating to medical staff committee documentation. Provides administrative support to the Director of Medical Staff Services.

What you will do
  • Facilitates and coordinates reporting of information to the Medical Executive Committee for both LPCH and SHC as well as all other assigned committees.
  • Establishes procedures for submission of materials to Medical Board, including developing a reporting schedule for any required reports. In conjunction with Chiefs of Staff(s), composes agendas for Medical Board meetings ensuring compliance with any established guidelines from regulatory bodies for reporting to the SHC and LPCH Board of Directors.
  • Assists the Director, Medical Staff Services and Medical Staff leadership with review and revision of Bylaws, Rules and Regulations and other documents.
  • Establishes a system of committee support for all Medical Staff committees, ensuring appropriate clerical support, development of consistent formats, maintenance of committee materials, etc. Ensures that meeting minutes accurately reflect the discussion and action at meetings. Completes meeting minutes in a timely manner.
  • In conjunction with the Chief of Staff and the President of the Medical Staff, coordinates medical staff committee membership appointment and reappointment process, including all correspondence, rosters, and listings for all Committees.
  • In conjunction with the committee chairs, coordinates all functions of medical staff committees including agenda preparation, minutes, ensuring compliance with regulatory standards as appropriate, assisting chair with follow-up issues, preparation of appropriate committee materials for surveys.
  • Educates and advises other staff in appropriate methods and content for meeting support (i.e., minutes, reports, maintenance of records, etc.).
  • Coordinates elections for medical staff officers and at-large medical board members including ensuring that elections are held on a regular basis and working with the Nominating Committees in this process.
  • Assists the Director, Medical Staff Services with administrative functions and on special projects as requested.
  • Coordinates and facilitates changes and revisions to Medical Staff Bylaws, Polices and Rules and Regulations for SHC and LPCH. Responsible for maintaining a current approved version of the Medical Staff Bylaws, Policies and Rules and Regulations for Regulatory Surveys.

Education Qualifications
  • High School Diploma or GED equivalent required
  • Associate degree preferred

Experience Qualifications
  • Minimum of five (5) years experience in high-level clerical areas, preferably in a healthcare environment including experience with Medical Staff, Governing Board, and committee involvement, as well as regulatory standards as they apply to medical staff functions

Required Knowledge, Skills and Abilities
  • Excellent organizational, inter-personal, and communication skills (both oral and written) are essential, including the ability to prepare accurate, and timely reports, meeting minutes, policies, etc.
  • Functions independently with excellent judgement and minimal supervision
  • Discretion, confidentiality, tact, and the ability to deal with sensitive issues is required
