PRINCIPAL OBJECTIVE OF POSITION:

Incumbent is expected to supervise the execution of daily activities related to receiving, segregation and sampling and storage of raw material, packaging material, drug substances and miscellaneous materials. Leads warehouse employees to execute routine tasks on a daily basis. Also, is accountable for providing analytical and logistic support to the Warehouse operations and for the administration of all activities related to Quality, Compliance and Continuous Improvement perspective to achieve the department goals/objectives. The incumbent must comply with all Security guidelines Environmental Health and Safety regulations and the current Good Manufacturing Practices required by the job function.

MAJOR DUTIES AND RESPONSIBILITIES:

Leads/supervises daily coordination of activities related with the receiving, segregation and sampling of raw material, drug substances, packaging components and other materials.

Tracking and coordinating the receipt, storage and timely delivery of goods and materials.

Leads and supervise warehouse employees to execute routine tasks on a daily basis.

Daily resources allocation recommendations / decisions consistent with priorities

Measure and report the effectiveness of the warehousing activities and employees performance.

Supervise the organization and maintenance of the inventory and storage area.

Checking orders, bills, items received, inventory and deliveries for accuracy.

Performs Quality Investigations, Transportation Incident Reports, Corrective and Preventive Actions, Standalones Actions, Gap Analysis, Change Controls, EHS Incidents Reports and Audit Observations in a timely matter identifying root causes to determine opportunities and avoid recurrences.

Keeps update and accurate data in the inventory control system (manual and computerized).

a. Maintains and generates transactions in SAP environment for all warehouse transactions.

b. Performs as the backup for the receipts of all incoming materials in the integrate system (SAP) based on GMP standards and prints labels for materials identification and any other area related.

c. Performs inventory cycle counting reports and investigates discrepancies found during the process.

d. Process Transfer Orders (TO’s) in the inventory system.

Perform, evaluates and revises Warehouse/Logistic procedures to ensure compliance of quality standards (cGMP) and government regulatory agencies that each procedure is update and that the users are performing that tasks as per procedure.

Perform, evaluates and revises Warehouse/Logistic process (such as the Graphs of Temperature/Humidity and Pre-Operational activities) to ensure compliance of quality standards (cGMP) and government regulatory.

Ensures Warehouse inventory accuracy thru a periodical Cycle Counts and annual physical inventory and analyses inventory discrepancies between physical and SAP system.

Performs, improve, tracks and maintains any Operational Excellence initiative at the Warehouse, such as the Tiers, Idea Program, Visual Factory, Kaizens, Gemba Walks, Yellow Belt Certifications and 5S Board among others.

Evaluates existing processes of Receiving, Segregation, Dispatch and Sampling to establish parameters to measure productivity.

Analyzes warehouse loads to identify and recommend modifications on inventory distribution to improve Warehouse capacity and capability.

Perform personnel administration aspects such as hiring, performance evaluation, disciplinary actions, training and development and terminations among other administrative functions.

Perform internal Safety and Quality audits to ensure process improvements and documents verifications (receiving, sampling, dispatch and shipping) and that correctives actions generated in Safety and Quality Audits are completed and in compliance with cGMP’s requirements.

Generates Work Orders, when required to ensure the Warehouse facility is in optimal operations and generates purchase requisitions regarding warehouse materials and services.

Leads the coordination of the shipment of waste to be destroyed off site with the waste management companies, maintains rejected materials storage control in designated areas and follow up and monitors rejected materials up to the final disposition maintaining records and control of waste disposal documentation as per internal and government requirements.

Leads the coordination of credits and products returns as necessary, orders with the Shipping Area to ensure timely delivery and customer special requests (such as: samples, special testing, COA's, etc).

Performs proper coding, analyzes freight payments and generates monthly reconciliation reports for Finance Department.

Prepares documentation related to inventory adjustments.

Assures housekeeping across the warehouse complies with procedures and keeps working areas clean and organized.

Monitors and takes action to ensure compliance with State and Federal regulations as FDA, DEA, DOT, FTZ, IATA, IMDG, GMP and any other applicable to our business.

Develops and provides training to warehouse personnel on government regulations such as FDA, DEA, DOT, FTZ, IATA, IMDG, GMP and any other applicable to our business.

Performs as the backup person of the Warehouse Manager.

DECISION MAKING

  • Incumbent must possess the capability to evaluate, recommend and make firm decisions on receiving, segregation, sampling and dispatching materials.

  • It is expected that the incumbent will make daily resources allocation recommendations / decisions consistent with priorities creating new ideas and processes, delivering results, driving for continuous innovation.

  • Analyze and interpret complex problems/data gathered from a variety of sources and through effective decision -making.


  • Focus on problem solution, root cause analysis and improvements in order to achieve operation efficiency and productivity the US Customs and FDA directives.


  • Incumbent is responsible of keeping the integrity of inventory data, receiving documentation taking into consideration existing procedures; Federal and State regulations; internal controls as well as the Company's objectives..


  • Compliance with BMS policies and regulatory agencies.

  • The incumbent will drive EH&S program activities associated to Warehouse Area to ensure full alignment with regulations.

  • Make decisions regarding personnel administration aspects such as hiring, performance evaluation, disciplinary actions, training and development and terminations among other administrative functions.


  • Reinforce work priorities to align operations activities, even in ambiguous situations.

  • Requires the exercise of effective judgment, which has direct impact on site’s quick response and customer’s satisfaction image in the market.


  • Initiate any action that should be required to ensure the security of the materials.


  • Alert of any material that could have been tampered and/or demonstrates unusual characteristics.

  • The incumbent is expected to work with minimum supervision, reporting on status & performance on a periodic basis to the Warehouse Manager.
  • Makes decisions at the right level and escalates the situation that deserves to be informed before taking decisions.
    Provide instructions to warehouse operators on behalf of the Warehouse Manager.

    KNOWLEDGE / SKILL
  • Bachelor Degree in Materials Management, Business Administration, Sciences or Related field.
  • Five (5) years of combined experience in Supply Chain, Quality Control, Manufacturing, Technical Services in a Pharmaceutical Manufacturing or any other regulated environment involved in the implementation of US Customs Regulations, FDA, DEA and USDA regulations.
  • Experience in coordinating warehouse/logistic/manufacturing/quality activities.
  • Knowledge of cGMP’s, Federal and State regulatory requirement, company policies/procedures and documentation practice.
  • Excellent knowledge of computerized production and inventory control systems, such as SAP.
  • Excellent computer knowledge in Word, Excel, Power Point, documentation and inventory software such as Trackwise, DCA, SAP among others.
  • Communication skills, excellent written and verbal ability in English and Spanish
  • Excellent analytical skills.
  • Forklift license certification by the Company.
