Sr. Secretary - Patient Advocacy (8am-5pm)

SUMMARY

The primary purpose of the Senior Secretary position is to provide highly responsible, professional secretarial support for the Department of Patient Advocacy. Primary functions include working as a team with the support staff to greet, screen and address all incoming phone calls and walk-ins. Assist co-workers and supervisors with the organization of correspondence and office files. Perform backup duties for the other support staff, the Senior Administrative Assistant and Office Manager. The Senior Secretary is responsible for varied and extensive secretarial duties requiring excellent communication skills, accuracy, independent judgment, initiative and flexibility.

Sr. Secretary opportunity in the Patient Advocacy Department. The ideal candidate will have a high school diploma or equivalent and at least two years of secretarial work experience.

Seeking candidates with effective communication (verbal and written) skills, possess extensive experience with answering and triaging multi-line telephone calls and voicemail messages. Must have experience working in Microsoft office system (Excel, Outlook, Word and PowerPoint). Epic experience and Bilingual Spanish are a plus.

Onsite presence is required for this position

Shift: Monday - Friday 8am - 5pm

KEY FUNCTIONS

Customer Service

• Greet and assist all patients, family members, visitors, and staff who enter the Advocacy office demonstrating excellent interpersonal skills. Maintain professional demeanor and open communication with those waiting in office. Respond to customer needs with tact, sensitivity and confidentiality. Display competency in handling upset and/or irate customer.

• Answer, screen and respond to Advocacy telephone calls. Confirm all messages are accurately relayed. Keep an accurate log of all callers and walk-ins.

Secretarial Functions

• Process and appropriately refer all incoming e-mail referrals (askMDA, Development office, Tumor Registry, etc.)

• Handle procedures regarding the Institutional Greeter Program to include e-mail reminders, schedules, directories, distribution lists, etc.

• Perform data entry and processes for new patient emails and messages

• Pick up, delivery, stamping, sorting and distribution of departmental mail

• Preparation of daily assignment sheet

• Process/refer all incoming letters and faxes appropriately

• Update and revise departmental rosters and forms.

• Track and data entry of telephone calls and walk-ins, creating statistical data spreadsheets

• Create and distribute daily Open Cases report

Additional Responsibilities

• Keep reception area and patient consult rooms tidy at all times

• Monitor patients lobby supplies, coffee, water, snacks, magazines, etc.

• Serve as a backup for Senior Administrative Assistants to include processes regarding Press Ganey surveys and Discharge Follow-up calls

• Provide coverage for Patient Relations office process

EDUCATION
Required: High school diploma or equivalent
Preferred: None

EXPERIENCE
Required: Two years' experience performing responsible secretarial work.

Preferred: Prior MD Anderson Cancer Center experience. Patient and or customer service front facing position. Bilingual - Spanish is a plus.
