SUMMARY

Provides oversight to over 640 employees within Fac Mgt PCPF. Departments include O&M campus, Property Management, Clinical Engineering and Environmental Services. Oversight includes budget, merit, HR activities, purchasing/procurement and supervision of all administrative team members. Responsible for compliance of policies and guidelines and able to write guidelines and review existing ones. Ensures Kronos time keeping is accurate and in compliance; shares news and information from the organization as well as the facilities division; reports budget variances; forecasting, and all initiatives as it relates to PCPF. Liaison between Human Resources and the Facilities Division. Able to communicate and create documents for leadership.

Department Fiscal Responsibility:

Collaborates with leadership team in department budget preparation with Facilities Management and the Institutional budgeting procedures. Budgets includes operations and maintenance, personnel, small projects, IT, contracts and capital submissions. Provides reports for leadership decisions. Oversight of financial, budget, merits, overtime management, ePAF submissions along with all documentation for personnel changes, disciplinary actions, terminations, etc. Monitors budget compliance for department fund groups. Inventory, physical reconciliation, maintains department records of transferred, moved equipment, oversight and reporting for department annual physical inventory, includes updates to CEMS system. Supervises expense reconciliation of all department funds within PCPF. Supervises procurement coordination/provides evaluations of items purchased with regard to quantities and frequency, monitors production of completed purchase requisitions to ensure timely placement of orders and troubleshoot aged accounts payable. Monitors contract payments.
Ensures compliance with Institutional, Divisional and Departmental policies.

Department Human Resources Management:

Subject matter expert and liaison for all HR activities. Liaison with HR Generalist, Recruiters, Facilities Personnel Administration/Finance. Responsible for all ePAF submissions. Supervises BC&O HR functions:Recruitment. Personnel actions, terminations, reclassifications, position changes. Kronos supervision/audit. FMLA administration; Performance evaluations; PD Warehouse oversight of position descriptions. Ensures Compliant, Timely training for department. Ensures compliance with Institutional and departmental policies and HR/JC compliance.

Manage Administrative Team:

Hiring/termination decisions, yearly evaluations. Mentors and promotes development of all administrative and procurement team members.

Bachelor's degree in Business Administration, Hospital/Healthcare Administration or related field. Four years of experience in a professional/administrative capacity to include two years of supervisory or managerial experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience. Must pass pre-employment skills test as required and administered by Human Resources.
