Manages the functions and activities related to FMS' existing real estate portfolio of over 2,700 locations and leasing transactions, providing oversight, support, guidance and expertise to the Real Estate Specialists and the outside contractors/agents to ensure efficient and appropriate execution of the transaction business in compliance with all pertinent company and regulatory standards and requirements. Liaise with Operational Management and assist in developing real estate strategy to support the operational needs of the business. Assists Real Estate leadership with development and implementation of strategies and initiatives pertaining to leasing real estate activities ensuring alignment and achievement of department and company goals and objectives.

Responsible for driving the FMS culture through values and customer service standards.

Accountable for outstanding customer service to all external and internal customers.

Develops and maintains effective relationships through effective and timely communication.

Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.

  • Oversee expiring leases for the FMS real estate Portfolio to ensure that no Option or Expiration dates are missed.
  • Provides direction, guidance and advice to the Real Estate Specialists or contractors/agents managing their workflow and workload to ensure optimal achievement of department goals and objectives.
    • Reviews the transaction workload and projects to ensure that critical dates (such as option dates) are accounted for and issues or discrepancies are addressed appropriately.
    • Monitors critical date requirements to ensure compliance with applicable standard procedures and regulatory requirements.
    • Monitors the workload of in-house personnel ensuring that all project timelines and milestones can be and are met as required.
    • Provides updates regarding project and transaction status to senior management as needed.
    • Assists with the negotiation and resolution of complex Landlord/Tenant matters.
    • Performs transaction activity in connection with problem/project resolution as requested.
  • Oversees transactional outsourced service providers engaged to handle overflow in transaction workload.
    • Scrutinize transactions and related project activity workload to identify and anticipate need for additional resources to meet critical deadlines
    • Determine period time and the number of additional resources required.
    • Contact the pertinent agency per agreement to retain the appropriate resources.
    • Manage contractors and monitor their activities to ensure appropriate execution of functions according to company and regulatory procedures and requirements.
  • Utilizes current in-depth knowledge and subject matter expertise to provide complex financial analysis, advice, and legal interpretation to internal customers as requested. Provides advice to field and divisional management regarding the company's rights and obligations pertaining to leases.
  • Provides informal education and informational presentations to FMS field managers, Area Managers and Directors Operations to familiarize the managers with the functions and services provided by the Real Estate Portfolio Management department. Answers questions and addresses issues as appropriate.
  • Assists in the development of a Real Estate Portfolio System
    • Monitors and manages the activity and project workflow reporting.
    • Monitors and analyzes other reports such as reports indicating the number of deals executed, any savings realized, and the timeliness of the transaction projects.
    • Performs Real Estate Database quality assurance by conducting ad hoc audits and evaluations.
  • Manages the Real Estate Specialists; providing leadership and guidance, working together to set departmental and individual goals and objectives in alignment with those of the company. Provides informal feedback throughout the year as well as formal feedback during the annual performance evaluation. Manages the department staffing by making the appropriate personnel decisions with respect to hiring, firing and disciplinary actions.
  • Manages and coordinates special projects, providing oversight and expertise to mitigate financial exposure and risk.
  • Takes the lead in department evaluation and assessment of department work processes, identifying and implementing strategies to contain costs, increase efficiencies and efficacy of transaction business.
  • Manages multiple ad hoc projects as assigned and represents the Real Estate Portfolio Management department on cross-functional teams as needed.
  • Report to the Director of Real Estate Transaction Management.
  • Other duties as assigned.

Real Estate Specialists I and II

Outsourced Resources


Bachelor's Degree required; Advanced Degree desirable.

  • Experience in Commercial leasing and Transactional work required:
    • 4 years transactional experience plus at least 3 years supervisory experience.
    • 7 years direct commercial leasing and Transaction work - no supervisory experience necessary.
  • Ability to understand, interpret and abstract complex Real Estate Lease terminology.
  • Relevant experience in a fast paced, multi-project, operational environment.
  • Strong communication skills both orally and in writing. Strong presentation skills.
  • Ability to meet deadlines.
  • Ability to work independently

  • Dependable & reliable.
  • Advanced knowledge of Microsoft's Office Suite as well as using Real Estate Management Software (Accruent's REM experience a plus).
