Summary of Job Duties:

The Administrative Specialist III will serve as the receptionist and administrative support for the Office of the Provost. In this role, the employee is required to collaborate with various units within the college and the university. This position is governed by state and federal laws, and agency/institution policy.


Required Education and/or Experience:

The formal education equivalent of a high school diploma; plus one (1) year of specialized training in business management, business education, or a related field; plus three (3) years of experience in specialized or a related field applicable to work performed.


Preferred Education and/or Experience:
  • Experience working with Microsoft Word and Excel;
  • Experience working with Google Mail and Drive applications;
  • Experience working with Workday and Banner;
  • Experience in customer service.

Job Duties and Responsibilities
  • Perform daily general office duties such as preparing and routing paperwork, filing, copying, emails, answering phone, routing calls, opening and distributing mail, and greeting visitors;
  • Respond to inquiries from students, staff, faculty, and the public, and direct inquirers;
  • Manage the department office equipment and office supplies;
  • Perform inventory management tasks;
  • Arrange travel for Associate Vice Chancellors and office staff;
  • Create travel requests in Workday;
  • Perform purchase reconciliations in Workday;
  • Purchase office supplies and computer equipment;
  • Act as backup to Provost Office staff;
  • Communicate respectfully, professionally, and accurately to internal and external clients ;
  • Answer telephone promptly using prescribed telephone etiquette and greeting ;
  • Take accurate messages for staff ;
  • Respond to inquiries and requests for information ;
  • Possess excellent written and verbal communication skills ;
  • Adhere to established office hours of Monday through Friday from 8 am-5 pm with a lunch break of one (1) hour between the hours of 11 am-2 pm;
  • Perform other duties as assigned.

  • Ability to display a professional and pleasant front office demeanor, including greeting visitors and answering the phone;
  • Knowledge of work-related subject area;
  • Knowledge of computers and software applications;
  • Ability to prepare and review oral and written information and reports;
  • Ability to research and analyze related work program information;
  • Ability to plan and organize work tasks;
  • Microsoft Word, Excel, Banner, and Workday experience;
  • Ability to work simultaneously on multiple projects and demonstrate organizational and prioritization abilities in accomplishing tasks.
