Executive Assistant

Job Description

General Function:

This person will be responsible for supporting VP level & Director Level Management. The overall responsibility for this role is to act as an indispensable resource by providing proactive support and ensuring everything runs smoothly for day-to-day business needs as well as when any of his/her managers are out of the office.

Essential Duties & Responsibilities:

  • Proofs all outgoing communications (internal and external) to ensure all details are provided.


  • Able to manage schedules, field scheduling, plan and coordinate meetings/events, book transportation and travel arrangements. Keeps pace and able to keep them on-schedule.
  • Manage expenses including creation of expense reports and tracking payment. Manage timesheets (if needed).
  • A self-starter who is constantly looking for ways to provide better support and greater efficiencies to his or her reports. Is able to multitask, has a positive can-do attitude and can handle matters independently and without guidance. Thinks ahead to ensure travel, meetings, etc. will run smoothly. Is not easily flustered by situations, can make quick, though rational, decisions and feels comfortable being held accountable for such decisions.
  • Able to clearly focus on task, articulate and present a professional image of the organization whether in person or on the phone. May need to assist his/her managers with correspondence which may sometimes require finesse.

Physical Demands
While performing the duties of this class, employees are regularly required to sit; talk or hear, in person and by multi-media; use hands to finger, handle, feel or operate standard office equipment; and reach with hands and arms. Employees are frequently required to walk, stand and move about to accomplish tasks, particularly for long distances or moving from one work site to another. Must have ability to ascend and descend stairs. Specific vision abilities required by this job include close vision and the ability to adjust focus.

While performing the duties of this class, employees are regularly required to effectively use written and oral communication skills; read and interpret data, information and documents; analyze and solve problems; use math and mathematical reasoning; learn and apply new skills and information; perform highly detailed work on multiple, concurrent tasks; and interact with colleagues, Clients and Vendors. Specific incumbent must maintain composure in a fast paced, high quality environment where personal and team accountabilities are the defining factors.

General office environment

Work is generally sedentary in nature, but may require standing and walking for up to 10% of the time. Work is generally performed within an office environment, with standard office equipment available.
