Executive Assistant, Audio

Job Description

The Times is seeking an executive assistant to support the head of Audio, ensuring they are able to operate efficiently and effectively. The executive assistant must also be able to represent this Times leader, both internally and externally, in a manner that corresponds to the professional nature of the department and maintain confidentiality. This is a critical support role for everything operational and administrative. Discretion and organization are key. This person will work closely with the Audio leadership teams, across the company, to ensure the group is properly supported and the vision of the head of audio is executed.

You will enjoy high levels of responsibility and access, and serve as a sounding board to the leader you support and those who work closely with them. Above all else, organization, work ethic, exemplary oral and written communication skills, ability to multi-task and judgment are key. An executive assistant is a quick study, a fast thinker, a strong writer, a self-starter, and a problem-solver who thrives in a dynamic environment and is always thinking ahead.

What you will do:
  • Provide a wide range of operational and administrative support and assistance on other related tasks and administrative duties as assigned
  • Be a sounding board for the executive, helping them work through everything from the challenges of the day to long-term projects and vision
  • Have an ear to the ground in the department and surface both successes and challenges that staff are facing
  • Track priorities and projects for the executive, making sure they are on task and meeting deadlines
  • Manage an ever-changing calendar, including vetting and prioritizing meeting requests and coordinating conference calls, interviews, meetings, and complex travel bookings
  • Maintain a high degree of confidentiality and discretion in regard to all matters and documents; be trusted with highly sensitive and confidential information
  • Conduct research, draft memos, and prepare executive for internal meetings
  • Handle a heavy volume of requests from internal and external stakeholders including, but not limited to, answering inquiries, resolving problems, and making appropriate referrals
  • Develop and maintain strong relationships with key contacts of various levels within and outside of the company as well as act as a liaison between the executives and members of the department
  • File all expenses for reimbursement on behalf of the executive
  • Plan events including, but not limited to, town halls, lunches, dinners and social gatherings

Qualifications:
  • Bachelor's degree
  • Minimum 2 years of industry experience, providing administrative support for a senior executive
  • Newsroom experience preferred, audio experience ideal, but not required
  • Knowledge of Microsoft Office Suite and Google Docs
