Our location in Austin, Texas currently has an opportunity for a Manager of Rebates and Contract Administration. Working in support of the Medical Devices US Sales Division, this role will lead a team of talented analysts to partner with our contracted customers.

WHAT YOU'LL DO

Under the leadership of the Director of Strategic Pricing and Contracting, the Manager of Rebates and Contract Administration is responsible for the oversight and direction of strategic activities to ensure compliance with customer agreements and improvement of profit margin.

The Manager develops and elevates the Contract Administration team to promote a high level of internal and external customer service. The incumbent leads the team to ensure all processes are compliant with corporate SOPs, government regulations, and the goals of the Medical Device brands.

A key strategic business partner to U.S. Medical Device marketing, contracting, and sales teams, this role will drive clarity around the dynamics and requirements for compliant agreements; and provide insights into customer performance and impactful trends.

The Manager of Rebates and Contract Administration is also the Business Lead for the enhancements and improvements associated with the Contract Lifecycle Management ecosystem, communicating business needs and recommendations to our IT partners.

Key Responsibilities Include:
  • Operations:
    • Oversees the calculation and administration of rebate, administrative fee, and performance programs with Group Purchasing Organizations, Integrated Delivery Networks, Federal Sales, Direct Hospitals, and Alternate Care Sites, to foster sales growth while promoting compliance.
    • Continually reviews systems and reporting tools for functionality and accuracy. Ensures contracts and performance programs are set up appropriately for processing and reporting.
    • Develops and maintains supporting documentation for workflows, SOPs, input and output forms, and accrual projections.
  • Strategy Development:
    • Collaborates with Marketing, Sales, Pricing, Contracting, and Finance teams in the design, planning, and implementation of the rebate programs offered.
    • Reviews draft template language for clarity and accuracy as it relates to rebates and administrative fees.
    • Participates in the launch plans for new products, ensuring system capabilities and team proficiencies are prepared for implementation.
    • Coaches and consults business partners on optimal rebate and performance options by customer.
  • Reporting and Analysis:
    • Analyzes accruals on a quarterly basis for accuracy, proactively notifying Finance and Sales teams of changes to customer contracting terms, upcoming new agreements, and outliers to purchasing and performance trends.
    • Provides recommendations to Sales and Finance teams concerning customer performance shortfalls; develops recommendations to implement corrective actions for non-compliant customers.
    • Coordinates audit and dispute requests, leading communications with internal teams and/or customers to resolve disputes, correct findings, and improve SOPs.
  • Team Leadership:
    • Ensures a high level of motivation across the Rebates and Contract Administration team, coaching and growing staff to align with the company's vision.
    • Develops controls around systems and processes to promote accountability within the team
    • Develops strong business partnerships, with the mindset of customer first
  • Systems and Customer Data Management:
    • Communicates to the IT Solutions team the business needs for optimal performance, reporting and analytics
    • Evaluates technology and tool alternatives and approaches, recommending solutions with the forethought of scalability and reusability for future rebate and discount structures.
    • Considers solutions that preserve the integrity and validation of customer data.


EDUCATION AND EXPERIENCE YOU'LL BRING

Minimum Requirements:
  • Four-year degree, preferably in accounting, finance, business administration, computer science, or engineering. MBA or Master's Degree preferred, but not required.
  • Seven or more years of experience in accounting, finance, rebate/contract administration, or a related area
  • Two or more years of experience managing teams
  • Two or more years of experience in pharmaceuticals, medical device, or diagnostics preferred
  • Advanced Excel, Access, Business Objects skills
  • Experience with SAP and SFDC
  • Ability to work with large amounts of data to manage contract requirements
  • Ability to work well under pressure to ensure accurate and timely payments, manage deadlines associated with system or audit projects
  • Ability to travel up to 20% for business meetings and team coaching, as needed
