A Brief Overview
Responsible for the overall management of staff and operational activities within the Data Integrity division, i.e. Chart Completion, MPI, Transcription support, Communications Management and Release of Information (as applicable). Assures that the outsourced functions of Release of Information (ROI) and Dictation/Transcription operate in accordance with relevant SHC policies, procedures and external regulatory agency requirements. Also ensures that service levels and other conditions as stipulated in the applicable SHC/vendor master agreement are adhered to. This position has budgetary responsibility for areas managed, establishment and monitoring of functional area staff performance, metrics, including productivity and accuracy measures, and assurance area targets are consistently met. Significant customer interface responsibilities with other departments/clinics, physicians, vendors, and other external customers is a key component of this position

What you will do
  • Works closely with other members of the HIMS team, physicians, IT, vendors, clinic staff, Patient Access, Patient Financial Services, Guest Services, Compliance, Risk, Legal, etc. to ensure chart accuracy and integrity throughout all hospital systems.
  • Support testing, new versions, system upgrades, new applications, etc. to ensure accurate results with minimal impact to end users, key stakeholders and functional areas.
  • Develop and maintain a Quality Assurance Program; generate productivity reports to monitor staff productivity, turnaround times, and quality of work, providing timely feedback to staff.
  • Provide recommendations for improvement, based upon ongoing process reviews/findings and analysis; lead teams in the development of optimal workflows consistent with strategic goals of the department; ensure appropriate and efficient utilization of resources.
  • Meet section performance standards by efficiently setting goals and objectives, prioritizing work, reviewing standards, and making recommendations for change as needed. Report statistics reflecting operational activity, as well as status updates for projects/initiatives. Responsible for A3 creation and providing input for SOP's related to areas of responsibility.
  • Direct the training of new employees on policies and procedures; ensure staff re-training, as appropriate.
  • Write, maintain and update policies and procedures for areas of responsibility, as appropriate.
  • Write performance appraisals with input from the Director of EHR Integrity and HIMS Operations , providing timely and appropriate feedback. Manage staff timecards, providing feedback to employees as dictated by Time & Attendance Policy, and ensuring adequate staffing and holiday coverage.
  • Employ Active Daily Management in daily routine; participate in daily team huddles; create opportunities for staff engagement by promoting open lines of communication. Actively seek opportunities for team collaboration. Participate in both day and evening C-I-CARE leadership rounds.
  • Assures ongoing review of staff productivity and quality, creating employee specific reports for tracking, trending and education opportunities.
  • Ensure data integrity of the electronic health record at all times.
  • Participate in the Joint Commission (TJC) mock surveys.
  • Educate physicians/clinic staff in facilitating accurate and complete clinical documentation, as needed.

Education Qualifications
  • Bachelor's degree in a work-related discipline/field from an accredit college or university, or equivalent combination of education/experience.

Experience Qualifications
  • Five (5) years progressively responsible and directly related work experience including previous managerial experience within a HIMS Dept
