Our Role:

We are seeking a high impact individual with exceptional organizational and administrative skills to support key members of our PGIM Real Estate team located in Arlington, VA as well as provide general office management coordination and oversight. The successful candidate will facilitate a wide variety of administrative tasks that are critical to the successful of a fast paced and demanding business. This position requires exceptional organizational skills, extraordinary judgement and the ability to seamlessly manage competing priorities on behalf of our executives.

Your Responsibilities:
  • Provide exceptional administrative support and implement procedures to ensure efficient operation of the PGIM Real Estate Arlington, VA office. (We anticipate a full return to the office by year end)
  • Heavy and complex scheduling and calendar management for several key executives and members of the extended team as needed. This requires coordinating constantly changing schedules and preparing for meetings and conference calls by having all related documentation and logistics in place.
  • Arrange and coordinate extensive and complex travel schedules and logistics.
  • Monitor requests and correspondence of key executives. Keep a running list of priorities and execute with speed, efficiency and a sense of urgency.
  • Coordinate and arrange on and off-site meetings including, but not limited to, selecting the venue, contract negotiation, planning for food and beverage needs, and preparation of slides and materials including agendas. Travel may be required occasionally.
  • Handle telephone and /or written contact with external and internal associates.
  • Provide general administrative support - typing, photocopying, calendaring, vouchers, and maintaining supplies.
  • Develop and edit presentations, typically in PowerPoint.
  • Conduct research and compile information for multiple types of statistical reports, using various software, including MS Office. Prepare outgoing mail and correspondence, including e-mail, faxes and overnight packages.
  • Assist with video conferencing.
  • Prepare and submit expense vouchers to Accounts Payable in a timely manner for processing and reconcile any errors/discrepancies.
  • Review expense vouchers and gifts/entertainment requests so that they can be approved, and ensure they are in compliance with Prudential standards.
  • Maintain trade association memberships and subscriptions.

  • A mastery of all Microsoft Office applications (Word, Excel, PowerPoint and Outlook).

  • Ability to work well with and partner with other administrative and professional staff.
  • Flexibility to work overtime on an as needed basis is required.
  • Ability to travel occasionally preferred.
  • College degree preferred.
