EXECUTIVE ASSOCIATE US Oncology Thoracic and GI Marketing team

The Executive Associate will support the US Oncology Thoracic and GI Marketing team. This includes support for the Vice President, U.S. Commercial, as well as the broader team. We are looking for a dynamic, performance driven, well organized and flexible individual who thrives in a fast-paced environment. This individual must be able to work independently and make decisions on behalf of manager in regard to calendar and travel events, as well as work professionally with matrix team members.

  • Demonstrate strong interpersonal skills, diplomacy and confidentiality in all levels of management.
  • Demonstrates integrity and ethics in all aspects
  • Work with minimal supervision, have strong initiative and follow-up with focus on details.
  • Calendar management as well as timely scheduling to ensure meetings are prioritized and occur with appropriate timelines
  • Prioritizes activities and takes prompt action based on an understanding of departmental objectives and business needs.
  • Adhere to T&E policies, including booking travel (domestic & international) and monthly reconciliation of business expenses
  • Facilitate multiple projects, prioritize competing demands, and requests - taking initiative to adjust or change priorities as needed
  • Building relationships easily with executives and business leaders outside the team
  • Ensure manager’s preparedness for meetings (e.g., assemble meeting materials & pre-reads)
  • Proactive management of high profile internal & external events
  • Prioritize and complete support requests in a timely manner.

  • High School or GED degree required, some college or degree desirable.
  • 5+ years administrative experience; prior BMS and Executive Associate Experience preferred.

  • Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint). Knowledge of BMS Systems and Processes, video conferencing and Microsoft teams, skype
  • Concur Travel and T&E, Ariba/SAP, SharePoint, eSetup/411, eTime, Workday, Room Scheduler.
  • Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time-zones and during periods of heavy workload.
  • Successful candidate must be able to learn new tools and systems in an ever-evolving environment.
  • Exhibits a positive work attitude, and high productivity.
