About the job

The Worldwide Environment, Safety & Health organization team has an immediate need for an experienced Administrative Assistant.

Worldwide Environment, Safety & Health organization is searching for a detail-oriented person with excellent follow-through who is able to maintain confidentiality and be highly effective in a team environment. This position will provide direct support to a WW ESH Director at Texas Instruments and direct reports including global teams worldwide. The ideal candidate will be an effective problem solver, demonstrate good judgment, have strong verbal and written skills and be able to communicate with all levels of management.

Describe responsibilities

  • Manage and assist with scheduling director's calendar / arrange and schedule team meetings weekly or monthly (local & global) and arrange meetings with various TI executive leaders
  • Arranging domestic and complex international travel for the organization (airfare / hotels / ground transportation); assist with processing visas / passport applications
  • Process invoices for non-AP or AP or PO expenses
  • Create PR requests via SAP and route to appropriate approver and buyer / assist with setting up vendors working with WPL / certified SAP international shipper / WPL / AP relationship / managing project checkbooks
  • Working with leadership team to plan worldwide meetings and employee celebrations
  • Provid support for organization i.e. ordering office supplies, phones and setup for new employees, and other administrative items
  • Maintain and update SharePoint sites and share drives
  • Set up and maintain employee mailing lists and mail folders
  • Prepare communications (e.g. presentations, routine correspondence, build and maintain organizational charts for the worldwide organization, etc.)
  • Maintain office and cubicle space
  • Submit Cherwell (Help) tickets for various office requests and setup for team events with the building facilities team
  • Order recognition awards via TI's reward & recognition system/program


Minimum requirements
• Minimum education high school diploma or equivalent
• Minimum of three years of experience

Preferred qualifications:
  • Proficient with computer and various software programs (Outlook, Excel, Word, FMS, SAP, PowerPoint, SharePoint, Concur, ShareManager, Broadcast lists, SAP, FIS Portal programs)
  • Excellent verbal and written communication skills
  • Ability to interface professionally and effectively with all levels
  • Excellent organizational, prioritization, and time management skills
  • Demonstrated ability to build strong, influential relationships
  • Ability to work in teams and collaborate effectively with people in different functions
  • Ability to work effectively in a fast-paced and rapidly changing environment
  • Strong time management skills that enable on-time project delivery
  • Ability to take the initiative and drive for results
  • Ability to effectively solve problems and make appropriate decisions
