Your Role

The Foundation is an independent licensee of the Blue Shield Association. Blue Shield of California has contributed more than $500 million to Blue Shield of California Foundation since 2002 to have a positive impact on California communities. Our mission is to build lasting and equitable solutions that make California the healthiest state and end domestic violence. The Executive Assistant will report to the Chief Executive Officer. In this role you will be responsible for supporting the CEO and handling the day-to-day organization and scheduling needs of the CEO. You will also be responsible for project managing the materials for the Board of Trustees meetings on a quarterly basis.

Your Work
In this role, you will:
  • Carry out administrative, analytical or procedural tasks with high degree of autonomy
  • Handle administrative matters, in the absence of, or on behalf of, the executive
  • Maintain executive confidence by keeping information confidential
  • Serve as administrative liaison between executive and direct reports and others within and outside the organization, including members of the Board of Director's
  • Manage day-to-day organization of executive's emails, calendar, appointments, meetings, and related schedule
  • Complete expense management and travel logistics for CEO
  • Coordinate activities between department and outside parties and makes high level contacts of a sensitive nature both inside and outside the company
  • Complete special projects assigned by the President/CEO
  • Project manage board meeting materials end to end for Trustee meetings; coordinate and handle logistics for Board events, including hotel accommodations, related expense reimbursement for Trustees
  • Other duties as assigned




Qualifications

Knowledge and Experience
  • Requires a bachelor's degree or equivalent experience
  • Requires at least 5 years of prior relevant experience. Experience working with CEO and C-suite as well as Board preferred
  • Must have strong executive presence and professionalism
  • Possesses the knowledge, people skills and judgment to complete assignments accurately and communicate results
  • Upholds a strict level of confidentiality and professionalism
  • Must be able to meet deadlines and commitments in a fast-paced quickly changing environment
  • Professional level verbal and written communications skills
  • Comfortable working autonomously and across multiple tasks and reporting into different project working teams and staff members
  • Excellent multi-tasking, analytical and independent problem-solving skills and the ability to provide solutions and recommendations
  • Must know how to work in systems such as Outlook, Word, PDF, Asana, and PowerPoint
