Day - 10 Hour (United States of America)

This is a Stanford Blood Center job.

A Brief Overview
Create and maintain all exempt and non-exempt work schedules for organization in timekeeping system(s), including on-call and variable schedules. Manage centralized absence notification process for organization. Provide oversight of timecard exceptions and compliance, communicating to appropriate employees and managers. Act as expert user for system, providing training as necessary.

What you will do
  • Perform entry of fixed and variable schedules for all Blood Center exempt and non-exempt staff, including on-call schedules and adjustments to schedules based on changing operational needs.

    Examples: Change in projected number of donors at mobile blood drive may require adjustment of staffing levels in collections and laboratory areas.
  • Retrieve sick calls from centralized call-line for the Blood Center; and provide timely notification to manager or designee. Accurately record absences in timekeeping system, utilizing the correct leave codes; contact leave administrator when appropriate.
  • Assist Scheduling Manager with preparation of master schedule for staff in departments with variable schedules. Work closely department managers to ensure adequate coverage of all areas. May reallocate staffing resources in response to sick calls, unexpected events or shifts in workload, contacting employees at home as necessary.
  • Review time card exceptions and compliance; provide reminders and/or reports to employees and managers.
  • Acts as timekeeper expert users, providing help and training for Blood Center employees and new hires.
  • Complies with governmental regulations and Stanford Health Care and Blood Center policies regarding health and safety. Observes and supports good health and safety practices.
  • Strictly observes privacy and security related policies, procedures and practices to preserve the integrity and confidentiality of medical and other sensitive information pertaining to donors, patients, research subjects, and staff. Acts as a responsible information steward and treats information as sensitive and confidential in accordance with federal and state laws and with professional ethics, accreditation standards and legal requirements. Does not disclose protected health information inappropriately.
  • May be required to enter areas where other individuals work with human blood; potential may exist for unanticipated exposure to bloodborne pathogens by splash or spill.

Education Qualifications
  • High School diploma or equivalent Required
  • 2-year college degree Preferred

Experience Qualifications
  • Minimum of 2 years directly related experience required.
  • Experience with complex staff scheduling of 24 hour/7 day operation highly desirable.

Required Knowledge, Skills and Abilities
  • Able to organize and prioritize work independently and meet project deadlines.
  • Able to communicate effectively in English with individuals of diverse educational and cultural backgrounds, both verbally and in writing.
  • Demonstrated accuracy and attention to detail.
  • Proficient with a variety of computer programs, including Microsoft Office.
