Job Summary:

As a member of the Chocolate & Packaging Research and Development team, individual is responsible for administrative support to Sr. Director Chocolate and Packaging R&D and for coordinating a large number and wide range of activities, which are necessary for the development and commercialization of new Chocolate products in the US Market. Major types of support and coordination include:

1) Coordinating schedules, meetings, travel and administrative support for Sr. Director Chocolate & Packaging R&D

2) Support to Director, Chocolate PD, including schedule, meetings, preparation of documents and budget

3) Support to staff of 40-50 scientists and engineers for sample collection, creating purchase requisitions and some purchase orders, in support of production runs and development projects;

4) Arranging for timely availability and shipment of materials for sample preparation and production runs;

5) arranging for temporary labor necessary to execute sample preparation and production runs on established schedules.

The position works closely with technical professionals who act as project leaders, coordinates with Innovation Marketing and Supply Chain administrators and has responsibility for investigating, obtaining, and independently verifying technical information and alignment with company policies. Detail orientation and decision-making are required to meet project leaders' requirements for production materials, technical information management, and a variety of other goods and services.

Role Responsibilities:

Administration - Calendar, Scheduling, Domestic & International Travel - Provide support to Sr. Director, Chocolate & Packaging R&D, including managing calendar, scheduling meetings, resolving meeting conflicts, preparing reports for innovation governance meetings, monthly and quarterly reports, and scheduling travel. Provide general administrative support to the department by scheduling meetings, reviewing expense reports, creating presentations for department meetings, preparing labels for sample production, monitoring procurement card activity and records, and providing administrative solutions for team. Support sample requests and shipment for product shows to customers, senior executives, and board of directors. Coordinate office moves, onboarding of new employees, ordering uniforms, and computer requests. Coordinating any international and domestic travel, including air, hotel, and car bookings, researching and processing visas and passports.

Purchasing, Budget & R&D Production Materials Coordination and Shipment - Prepare purchase requisitions for plant testing and development support. This requires knowledge of SAP vendors and Hershey's policies for required supporting documentation. Coordinate SAP Purchase Requisition generation with project leaders and vendors. Compile information on project status and coordinate with budgets. Maintain records of budget status and provide to Sr. Director, Director and Sr. Manager. Ensure appropriate materials are available for sample preparation and scheduled production runs of products under development. This involves researching SAP vendors to determine correct information is provided. Once technical specifications and quantities are identified, materials are ordered and shipment to appropriate facilities, including laboratories, pilot plants, and plants, is arranged such that scheduled production runs can be executed at Hershey's or co-manufacturers' facilities. Significant attention to detail and problem-solving is often required to determine tentative specifications for new ingredients, arrange for co-shipment of laboratory samples and production quantities, preparation of purchase orders, and resolution of timing conflicts. Ensure that proper billing and payment of vendors occurs. This requires verifying delivery of ingredients, confirming correct billing, and searching Supplier Invoice Status. Coordinate shipping of ingredients of materials to domestic and international locations for plant trials or equipment vendor testing.

Contractor/Temporary Employee Coordination - Ensure that appropriate temporary labor is available for sample preparation and scheduled production runs of products under development. This involves working with contract labor supervisor and project leaders to estimate total labor requirements, skillsets and establish schedules, then working to ensure that qualified workers are available for the desired schedule. Ensure accuracy of billing from the agency and appropriate payment.

  • High School Diploma, Some college or formal administrative training Master's Degree preferred (MBA, MS in HR, or advanced degree in OD).
    • Minimum of 5 years in administration Experienced in process re-design, organization re-design and leading HR change.
  • Highly adaptable and ability to work independently and manage multiple priorities and deadlines.
  • Excellent attention to detail and follow-up on tasks
  • Good analytical and good math skills.
  • Outstanding interpersonal skills and ability to work across multiple groups and individuals.
  • Ability to work in a team environment and independently in a flexible work environment with changing priorities.
  • Excellent computer software skills, especially SAP, Adobe, and MS Office products; ability to quickly learn similar technology tools.
  • Technical knowledge of SAP for purchasing, vendors, invoicing, budgeting, and TRIP expense reporting.
  • Proven excellent organizational and communication skills.
