Overview

Our National Security Program has an immediate opportunity for an Administrative Assistant (AA) to support the administrative services within a variety of the National Geospatial-Intelligence Agency (NGA) directorates and offices.

Responsibilities

Description: The AA is an integral part of NGA’s ability to produce timely, relevant, and accurate geospatial intelligence (GEOINT) in support of national security objectives. In this riole, the AA will independently execute multiple tasks and a broad range of administrative activities with competing priorities. Specific responsibilities will include:

  • Manage front desk operations (i.e., answering multiple phone lines, greeting visitors, etc.)
  • Create and prepare reports, summaries, workbooks (e.g., read-ahead, staffing, continuity, standard operating procedures, etc.), or replies to inquiries with minimal assistance and/or guidance
  • Maintain calendars via Microsoft Outlook to include scheduling meetings, sending meeting invites to requested attendees, reserving conference rooms, establishing Video Teleconference (VTC) or WebEx connections, deconflicting meetings and prioritizing meetings based on executive priorities
  • Maintain strong teaming and collaboration skills that foster office unity and cohesiveness in support of completing office administrative requirements
  • Independently anticipate and provide responsive administrative support to facilitate completion of all organizational mission requirements
  • Interact with various leadership and support staff to gather, supply, or coordinate information
  • Proofread and edit internal and external communication and correspondence
  • Track incoming tasks actions and update element task action tracking systems
  • Independently apply mature and objective judgment to determine best approach and course of action to take in both routine and non-routine administrative situations.

Qualifications

Education / Certifications:

  • Bachelor’s degree in General Business Administration or related field with minimum 2 year of Administrative experience

OR

  • Associate degree in General Business Administration or related field with minimum 4 year of Administrative experience

OR

  • High School Diploma with minimum 6 year of Administrative experience

Experience:

  • Minimum 2 years’ experience proofing, editing, and converting draft files into PDF, MS Word, Photoshop, and other formats
  • Experience independently handling a moderate workloads, effectively coordinating multiple resources, and multi-tasking in a fast-paced environment
  • Excellent written and verbal communication skills and attention to detail
  • Experience producing professionally written emails, letters, documents, and other material
  • Demonstrated experience with MS Office, SharePoint, Adobe Photoshop, and Adobe Professional (PDF)
  • Experience with the Defense Travel System (DTS), knowledge of the Federal Travel Regulation (FTR) and Joint Travel Regulation (JTR)

    • PeopleSoft
    • PRISM
    • SharePoint
    • Management and Execution Tracker (MET)
  • Ability to schedule, coordinate, set-up, and operate Video Teleconference (VTC) equipment
