Summary of Job Duties:The Health Services Receptionist (HSR) position is responsible for a wide range of tasks which ensure the Office of Health Services functions effectively and efficiently. The HSR position is responsible for maintaining a professional, customer-friendly environment where patients feel comfortable. He/she will greet patients; help them check-in and complete any required forms; and answer questions. In addition, the HSR is responsible for answering a multi-line telephone; scheduling appointments using the electronic medical records system, Medicat; verifying insurance benefits; and submitting insurance claims to the third-party insurance billing provider. Understanding HIPAA regulations and patient confidentiality are essential to this position. Specific job responsibilities are listed below. This is a part time (50%) benefits eligible position. This position is governed by state and federal laws and agency/institutional policy and is funded through June 30, 2022.
Qualifications:

Required Education and/or Experience

The formal education equivalent of a high school diploma; plus four (4) years of experience in healthcare or insurance billing or a related field.

OTHER JOB-RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS.

Preferred Education and/or Experience

Associates Degree; prior experience with an Electronic Medical Record system, UA Little Rock software applications such as Banner, Workday, and BOSS, and verifying insurance benefits.

Job Duties and Responsibilities

Accounting

  • Submit claims to the third-party insurance billing provider;
  • Collaborate with the Assistant Director to resolve issues with returned/incomplete claims;
  • Collect appropriate fees for clinic services and provides a written receipt for each transaction;
  • Reconcile Departmental Deposits;
  • Review students’ accounts in BOSS for holds that would prevent posting charges; notify the students;
  • Post clinic charges to students’ accounts in BOSS Maintains vaccine inventory and records immunizations in the AR Department of Health immunization database.

Administrative

  • Maintain strict confidentiality of patient information per State and Federal HIPAA regulations;
  • Follow all HIPAA guidelines and office policies relating to the operation of a medical clinic;
  • Answer phones;
  • Schedule appointments;
  • Send appointment reminders;
  • Reschedule and cancel appointments;
  • Respond to medical record release requests;
  • Scan documents into patient records;
  • Receive deliveries; sort and distribute incoming mail;
  • Complete travel authorizations and reimbursement forms for Health Services staff;
  • Verify health insurance benefits and accurately documents findings;
  • Submit Worker’s Compensation paperwork to the AR Worker’s Compensation Commission.

Customer Services

  • Maintain a professional, customer-friendly environment;
  • Ensure front lobby is clean and inviting;
  • Interact well with other staff members.
  • Using the WebIZ database, researches immunization records for students who are unable to locate their records;
  • Verify student and employee eligibility for services;
  • Report influenza-like-illnesses weekly to the Centers for Disease Control;
  • Using Workday, enters time worked and requests time off;
  • Other duties as assigned.

Knowledge, Skills, and Abilities

  • Proficient in the English Language;
  • Exceptional customer service/interpersonal communication skills;
  • Excellent time-management skills;
  • Ability to multi-task;
  • Knowledge of current HIPAA rules and regulations including patient confidentiality;
  • Proficient in the use of computers, including the use of Microsoft Office applications.
