Summary of Job Duties:This position will serve as the Assistant to the Department Head and Operations Manager for the Department of Chemical Engineering. This position is the primary support for the department head and is responsible for assisting with managing the day-to-day operations of the department. Works in conjunction with department head to plan and implement departmental goals in all three critical mission areas stipulated in the land-grant charter: (1) Teaching Excellence; (2) Scholarly Research; and (3) Economic Development. Supports the department head by maintaining fiscal and budget oversight for the department including, development, oversight and approval of annual operating budget and reviewing, approving budget revisions and expenditure requests, and supervision and direction of fiscal support manager activities. Duties also include production of reports and presentations at the instruction of the department head, arranging and coordinating special events, and serving as a liaison between the department and other departments, other institutions, alumni, and the Arkansas Academy of Chemical Engineers (AAChE). This position includes managing operations central to the department such as processing travel documents, assisting with departmental purchasing, organizing and taking minutes for internal and external groups meetings, and supporting human resource activities including coordinating employment searches and inputting and monitoring WorkDay. Other duties are as assigned.
Qualifications:
Minimum Qualifications:
The equivalent of a Bachelor's degree from an accredited institution of higher education
At least three years relevant experience
Preferred Qualifications
Extensive (5+ years) administrative experience with program management
At least one year experience in a supervisory position
Experience within the University of Arkansas or another higher education system
Experience using Workday or other system software applications such as Microsoft Office and Advance
Experience with UAConnect or training in ERP
Experience working with alumni
Experience in event planning
Knowledge, Skills & Abilities
Knowledge and/or experience in the following: project management with the ability to prioritize and multi-task; supervisory experience; innovative problem-solving skills; event planning and coordination; graphic design, publishing/printing, and current media technology; proficiency in database, spreadsheet/data analysis, word processing, and presentation skills
Outstanding interpersonal skills
Strong written and oral communications skills
Ability to maintain a good team-work attitude
Able to work independently
Ability to evaluate collected information and formulate into recommendations
Ability to compile information into report form
