Executive Assistant
Responsibilities
You will serve as Executive Assistant to the Center Director of the Mary S. Easton Center for Alzheimer's Disease Research at UCLA. You will provide support for the Director's professional, clinical, research, and teaching activities and you will also maintain the Director's CV and biosketch. In addition, duties include but are not limited to: representing the Director to UCLA Easton Center members and affiliates, University officials, patients, donors, and the general community in a professional manner; attend meetings and take minutes and monitor follow-up on action items; managing meeting calendars of the Director; coordinating with the Department of Neurology conference rooms calendar, answering and triaging calls; ordering and inventorying office supplies; managing electronic records; and assisting with grant submissions.
QualificationsServe as the primary office communication liaison for the Director.
Utilize research tools, computer programs and related University programs/systems to collect scientific data, compile information, chart graphs, and retrieve electronic records.
Manage the Director's calendar and schedule meetings as needed.
Create and maintain multiple databases and spreadsheet files to compile data, produce reports, and organize mailing lists, donor funds, and research data.
Assist Director with completing grants and publication-related materials to ensure deadlines are met.
Compose letters and prepare documents with a basic understanding of medical terminology.
Manage Endnote library and file for Director's grant and research articles as needed.
Triage difficult, sensitive and urgent inquiries in a gracious, diplomatic manner.
Maintain and track budget and create budget projections for the Center and funded research projects within the Center.
Coordinate with Media and Communications Manager to update Easton Center website and edit newsletters.
