What You Will Achieve

Your strong communication and collaboration skills will help the administrative team to run its operations efficiently. You will focus primarily on supporting business leaders by providing administrative support activities and coordinates services either internally or through an outsourced service. You will also be responsible for managing records and files, verifying data, responding to emails and scheduling meetings, amongst other things. You will be the key point of contact for administrative activities and execution.

As part of the administrative support team, you are recognized as an advisor to other colleagues in your group due to your comprehensive knowledge and skills in your area and understanding of the larger organization. You are innovative in identifying solutions to problems by taking a broader perspective that benefits the organization. You encourage collaboration and communication within the team and across groups to influence desired outcomes. You train others and provide guidance to the team that helps us achieve our goal of creating breakthroughs that change patients’ lives.

How You Will Achieve It

  • Provide comprehensive administrative support for the Chief Science Officer of Hospital . Proactively manage complex calendars and travel schedules for Chief Science Officer of Hospital and members of the Parenteral Center of Excellence Leadership Team (PCOE LT), anticipating conflicts and using diplomacy to resolve issues.
  • Provide support to Head of Strategy and Business Operations, including periodic business analysis activities (e.g. proactive management of hiring plan against approved budget, periodic spans and layers analysis and reporting, and periodic review, analysis, and validation of activity tracker data, ensuring all PCOE colleagues are appropriately reflected, etc)
  • Manage domestic and international travel including creation and processing of PTE reports in compliance with Pfizer policy.
  • Organize activities for global Leadership Team meetings including agenda development, action item capture and tracking, meeting material management in SharePoint/Teams sites, and all meeting logistics (video, audio, WebEx, rooms, etc)
  • Provide departmental recruiting and onboarding support: engage potential candidates, schedule interviews, etc
  • Periodic review and analysis of financial reporting against department actuals (e.g. comparison of budgeted positions against actual positions) to enable accurate budget forecasting
  • Work closely with leaders to plan and execute departmental town-hall meetings and communications, site events, and senior leader meetings
  • Develop and maintain SharePoint and Team sites for LT needs
  • Early adopter for new digital solutions and technology advancements that are introduced to the business, supporting LT adoption
  • Ensure secure management of sensitive and confidential information e.g. goals, organizational charts, colleague related information, etc
  • Ordering of supplies, equipment, and services, including preparation of purchase orders, donations, coordination of requests, routing of invoices. Provide training and guidance to PCOE colleagues to allow them to efficiently resolve simple procurement issues. Act as an escalation point for more complex issues.
  • Develop, lead, and implement process improvements for administrative tasks to meet broader business objectives. Lead projects within the local and global administrative team.
  • Builds collaborative working relationships with all colleagues
  • Manage own time, professional development, and prioritization of work and take personal accountability for quality of work that impacts the department.
  • Assist with large meeting planning and logistics
  • Handle all duties with a high degree of integrity, professionalism, and confidentiality
  • Work with administrative staff across PCOE and PSSM groups and sites, and collaborate andmanage relationships at all levels. Support other PCOE and PSSM administrative staff in the fulfillment of job duties when needed.

Qualifications

Must-Have

  • High-school diploma or General Educational Development (GED) required
  • Minimum administrative experience of 7+ years
  • Proficiency in executing administrative tasks, including demonstration of high-quality work delivered on time
  • Detail-oriented approach to work with strong organizational skills and follow-through
  • Ability to take initiative within a strong team-oriented environment
  • Excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization
  • Ability to interact professionally with internal colleagues and external organizations
  • Problem solving mentality, including resourcefulness and ability to work across functions (within and outside the department) to resolve issues as they arise
  • Proven ability to prioritize activities and work independently, including handling multiple tasks with tight deadlines and working well under pressure
  • Ability to anticipate conflicts and use diplomacy to resolve as required
  • Appropriate use of discretion in the management of confidential information
  • Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, Word, Teams, OneNote, and other features
  • Possesses advanced expertise in computer software/technology (e.g. database, Sharepoint)
  • Ability to quickly learn, familiarize, and adopt new/updated digital software platforms
  • Strong sense of urgency and efficiency in completing work
  • Must be able to maintain composure under pressure and manage unforeseen situations
  • Excellent judgment, problem resolution and decision-making skills

Nice-to-Have

  • Prior executive level support (Vice President, Sr. Director, Director) highly preferred
  • Associate or Bachelor’s degree highly preferred
  • Experience using systems such as Ariba, Concur, etc preferred
