Executive Assistant
Job Description
As a Compliance Executive Assistant, you will manage the administrative needs of the Executive Vice President and Chief Compliance Officer and Vice President of Government Program and Settlements.
In this role, you must be a motivated self-starter with the ability to work independently with limited direction and supervision. This requires a proactive approach to taking on responsibility and a willingness to tackle assigned and non-assigned duties. You will be responsible for supporting an Executive Vice President, encompassing a wide range of activities including management of a complex calendar and scheduling requirements, tracking key deliverables, leading the coordination of travel, expenses and budgeting, project coordination, and document review. You also will:
• Manage administrative needs including complex calendar scheduling, meeting attendance and minute preparation, preparing PowerPoint presentations as needed, project coordination and interfacing with other leaders/stakeholders, email responses
• Plan travel arrangements and handle travel expenses; assist in rebooking travel due to schedule changes and unforeseen travel interruptions (e.g., cancelled flights, weather, etc.)
• Coordinate on and offsite team meetings, including coordination with internal and external resources for services such as meeting rooms, catering, hotels, activities, presenters, and audio/visual conferencing (e.g., WebEx/MS Teams)
• Onboard new employees, including ordering equipment and setting up onboarding plans with administrative managers and HR; assist with offboarding terminated employees
• Provide some general broader administrative tasks for direct reports of the EVP to ensure coordination and consistency across the team (e.g., having access to calendars as needed for scheduling, equipment ordering, onboarding/offboarding, office/desk assignments and moves, etc.)
• Interact with internal and external constituents in a way which promotes our values and represents the culture of the Company
• Often acts as a point of contact for urgent business needs and assists to identify issues for escalations, communicating and ensuring that the leadership and executive team is well informed; prevents surprises
• Manage workflow for incoming items to ensure that issues are directed to the appropriate area (particularly in Manager's absence)
• Read and analyze emails, submissions, letters, agendas, memos and determine significance; routing to appropriate personnel in a timely and efficient manner
• Prepare reports, collect, and analyze information; prepare presentations
• Develop and utilize historical information; provide retrieval of information. Record meeting discussions and provide minutes
• Maintain inventory and office supplies; anticipate office needs, including evaluate new office products; place and expedite orders when necessary
• Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment
• Monitors status of delegated items to ensure closure
• Maintain department organization charts and distribution lists
• Support the creation of executive level presentations and materials, including assisting with the preparations of Board books for the Company’s senior executives and members of the Audit Committee of the Board of Directors
• Exercise discretion and handle requests in a confidential manner; a significant amount of work and access is of a confidential nature
• Perform other job-related duties as assigned
Pay Range
The typical pay range for this role is:
Minimum: 21.01
Maximum: 48.08
This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
