Summary of Job Duties:
Summary:The Administrative Specialist II is responsible for researching & preparing special reports, examining & verifying documents, & performing general office duties.
Duties:
Edit, print, and enter data for various documents and reports such as evaluation narratives, newsletters, and training materials.
Maintains expenditure records and account balances of departmental budgets, grants, ADC and 4-H Foundation funds for assigned specialists.
Maintains files consisting of correspondence, reports, and subject matter material for assigned specialists. Assists others in the department if needed.
Prepares and submits travel forms and expense reimbursements for the specialists in the department.
Responsible for answering the telephone for faculty and staff in the Family & Consumer Science department. Responds to inquiries and requests for information when possible or directs callers and visitors to appropriate staff member., Provides secretarial support to assigned specialists in the department.
Assists with the preparation and copying of documents or materials that are needed for meetings, workshops, and trainings. Types and submits letters, emails, and other documents. Types and submits weekly, monthly, and annual reports.
Qualifications:
Minimum Qualifications
The formal education equivalent of a high school diploma; plus two years of experience in a specialized or related area applicable to work performed.
Knowledge, Skills & Abilities
Knowledge of record keeping procedures. Knowledge of the principles & practices of mathematics & statistics. Knowledge of work-related subject area. Knowledge of computers & software applications. Ability to conduct research & compile data into report form. Ability to establish & maintain filing systems. Ability to operate standard office equipment. Ability to analyze documents to determine compliance with rules, regulations, & procedures. Ability to communicate both orally & in writing.
